What Exactly is a room block?

It’s a set of hotel rooms held for your guests at a negotiated rate for specific dates, great for convenience, budget, and keeping everyone together. Typical wedding blocks are from around 10–20 rooms, but must have a minimum of 10 rooms.

Most hotels in the Hawaii market only offer what is called a "contracted block," which means you sign an agreement guaranteeing you will fill the minimum number of rooms. If you don't, you will still be required to pay for the unused rooms. 

Most contracts have attrition.  Attrition is the percentage of your block you’re required to fill to avoid penalties (many hotels use 80% fill as a benchmark). meaning you could lose up to 2 rooms out of a 10-room block without peanalty. We’ll aim to size your block smartly to minimize risk.

Does my ceremony have to take place at the same resort as my room block?

The short answer is NO, but of course, there are some BUTs

You can have your ceremony anywhere; a room block is just about rooms. So if you are having a beach wedding or a wedding at another non-resort area, such as Gather in Maui, the Beach House etc. you can still get a room block.

HOWEVER, if you ARE getting married at a resort, we highly recommend you stay at the same resort where your ceremony is. This makes your day even more stress-free, your guests aren't coming from all over the island and risking traffic or driving after a few beverages, and you get to just stroll to your ceremony and walk back to your room and straight into your honeymoon when the post-ceremony celebration is over.

1 year to 6 months prior is ideal, however, if your window is shorter or longer, we can still help you connect with the best options for your group and budget. We don't reccomend booking more than 14 months in advance, rates change frequently and its hard for hotels to accurately predict the best rates that far out.

how far in advance do i need to complete a room block?

What perks can a room block include?

Perks will range based on resort and season, but some common perks include reduced or removed resort fees, reduced parking fees, room upgrades for the wedding couple, resort credits, dining discounts etc.  We negotiate these on your behalf so you are not only getting the best rates, but also added incentives to make your stay even better!

Who pays for the rooms—us or our guests?

Most wedding blocks are “individual pay” (each guest books and pays their own room). Most resorts will create a link you can share with your guests so they may book and pay for their own rooms.

Master-pay (you pay for multiple rooms) is possible but less common for weddings and depends on your contract. In this scenario, you pay for all the rooms and will need to provide the resort with a list of your guests' names. Your guests can still provide a credit card at check-in for parking or incidental fees.

How many nights do we have to book?

Most Hawaii resorts require at least three nights for a room block. There are a handful that will allow two nights, but this is not common. You would typically plan these nights to be the night before the wedding, the night of the wedding, and the night after.

Can guests book extra nights outside the main dates?

What happens if your guests want to book more than the three nights? This is usually not a problem; “shoulder nights” (before/after) can often be added at the group rate if available; we’ll request it during negotiations. (Policies vary by hotel, inventory, and season.)

What happens if we end up needing more than our contracted rooms?

With contracted blocks, we can request an add-on at the same or adjusted rate. Availability is the limiting factor. Typically, however, it is not a problem to add on rooms unless the hotel is totally booked.

What is the cutoff date for my guests to reserve their rooms before the wedding?

This can vary by resort, but the typical contract terms are 30 days before check-in. So you will want to have your guest list solidified by this time. After that, rooms return to regular inventory rates.

Is there a fee or additional charges for Simple Maui Wedding to help with our room block?

No!

The good news is that the hotels are the ones who pay the fee! They offer us a small commission to facilitate room blocks for our clients. So this service costs you nothing. This commission is mostsly standard across the hotel brands, so our only interest is finding you the best fit for your needs and budget, not the hotel that pays the best commision.
